1. What we collect
We collect the information you provide directly and data generated through your use of the service.
- Account information: email address, name, and authentication details when you sign up via email, magic link, or Google OAuth.
- Documents & content: files you upload (PDFs, images, text files, etc.) and any AI-generated outputs such as summaries, flashcards, and chat messages.
- Payment information: handled by Stripe. We do not store full credit card numbers on our servers.
- Usage & analytics: page views, feature usage, and error logs to help us improve the product. We use cookies and similar technologies for authentication and analytics.
- Support communications: emails or messages you send to our support team.
2. How we use your data
We use the collected data to:
- Provide, maintain, and improve KnowledgeVault AI services.
- Process documents with OCR and AI models to generate summaries, flashcards, translations, and answers.
- Process payments and manage subscriptions.
- Send transactional emails (receipts, password resets, processing completions) and optional product updates.
- Prevent fraud and enforce our Terms of Service.
3. AI processing of your documents
When you upload a document, our system sends the extracted text to AI providers for analysis, summarization, and chat responses. Your content is processed to generate outputs for your account only. We do not use your documents to train third-party AI models without your consent.
4. Data storage & security
Your data is stored in cloud infrastructure provided by Supabase (authentication, database, and file storage). We apply industry-standard access controls and encrypt data at rest. Access to production systems is restricted to authorized team members.

We rely on the following categories of service providers:
- Authentication & database: Supabase
- Payments: Stripe
- AI processing: frontier language and vision models via managed APIs
- Analytics: product analytics providers to understand usage patterns
6. Your rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate information.
- Delete your account and associated data.
- Export your data (documents, notes, and generated content).
- Object to or restrict certain processing activities.

7. Data retention
We keep your data for as long as your account is active. If you delete your account, we begin removing your documents and personal information within 30 days, except where we are required to retain data for legal or tax purposes.

We use essential cookies for authentication and session management. We also use analytics cookies to understand how users interact with the product. You can disable non-essential cookies through your browser settings, though this may affect certain features.
9. Children's privacy
KnowledgeVault AI is not intended for children under 13. We do not knowingly collect personal data from children under 13. If you believe we have inadvertently collected such data, please contact us to request deletion.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or a prominent notice in the app. Continued use of the service after changes constitutes acceptance of the updated policy.
